How do I enter a supplier credit note ?
If you have the Creditors module, you can enter the credit notes sent by your suppliers in the Credit notes file accessible via the Acquisitions menu.
Credit notes can be created in different ways:
- From the creditor invoices file, by selecting invoices and calling the Action>Convert... command: the program generates a credit note from each invoice.
- From the credit notes file, by calling the Action>New command or by clicking on the New button. A dialog box is displayed to select an invoice to be used as a basis for the credit note.
A credit note does not have to be linked to an invoice. It can then be used later to pay the invoice(s) of your choice, or simply be reimbursed.
The main fields of a credit note are the following:
- Number: number of the credit note assigned by the creditor.
- Date of credit note
- Our/Your ref.
- Remarks
- Supplier code: enter the supplier's code or, failing that, the beginning of its name preceded by a slash (e.g. /Center). If the program finds several potential suppliers, a selection window will appear. Once the desired supplier has been selected, its address is copied to the credit note.
- Item code: Enter the code or the beginning of the short name of the item. If the program finds several items, a selection window appears. Once the desired item has been selected, complete with the quantity and modify the price, the discount, the VAT code, the account, the analysis center, the sub-index and the row total if necessary. Repeat the operation for each item to be mentioned in the credit note.
Once the invoice is completed, validate it to save it.
