How can I settle (partially or totally) a creditor invoice using a credit note?
If you receive a credit note from your supplier, there are several ways to enter it:
Convert an invoice into a credit note
Select the relevant invoice in the Creditor Invoices file, then call the Action>Convert command. The invoice and credit note are automatically linked. The invoice is fully balanced, since the total amount of the linked credit note is equivalent to that of the creditor invoice.
Create a credit note directly
Create the credit note directly in the Credit Notes file.
With this method, it's up to you to link the Credit Note to the Creditor Invoice. Here's how it works:
- When you call the Action>Add command, a dialog box appears, in which you can enter the number of the creditor invoice to be balanced. The credit note generated contains the same lines as the original invoice. Leave the credit note as is if you wish to settle the invoice in full, otherwise modify the lines if necessary (for example, you can delete certain lines if they are not credited). In this case, the total amount of the credit note will differ from that of the invoice.
- If you don't associate a credit note with an invoice when you create it, you can do so later: in the Creditor Invoices file, find and select the desired invoice, then call up the Action>Apply command. In the Target menu, select the value Credit Note Nr. The table that appears displays all open credit notes for the biller of the selected invoice. Select the desired credit note and confirm the dialog.
Completely balance an invoice
- Use the Action>Convert command in the Creditors invoices file.
or
- Create a credit note specifying the invoice number to be credited.
Partially balance an invoice
- Create the credit note by entering the invoice number, then edit the credit note lines.
or
- Create a credit note ex nihilo, then associate it with an invoice via Action>Apply, Target: Credit Note Nr. in Creditor invoices file.
