In Business, what are the differences between employees and users?
Business has an Employees file and a User Accounts file. How does an employee differ from a user ?
| Employee | User |
| You reach the Employees file over the Contacts menu. | You reach the Users file in the Maintenance, over the Maintenance menu. |
| Enter the contact details of all employees of your company in this file, whether they use Business or not. This file will be useful for the human resources department as well as for the day-to-day management of the company (e.g. to keep track of contacts between employees and the company’s customers). | Enter in this file only the names of the employees who will use the software. This file allows to manage the access to the database (who has the right to do what). |
| An employee’s file contains a large number of entries: postal address, phone number, email, department, enumerations, etc. | A user account contains only its name, a password, an email address, and permissions for the software. |
| No special authorisation is required for an employee. | Each user is assigned permissions for the software (access to files and rights to create, modify, delete records, for example). |
| An employee record can be entered manually or by importing from the Employees file in Staff. | A user’s record is entered manually. |
Note that it is possible to associate a user account with an employee in the employee record. Thus, when a user enters an Event record, the Employee Code and Name fields will be automatically populated with the employee’s details. It is still possible to enter an Event record by associating it with another employee.
