Import and export format "Subjects and referrals"
The "Subjects and referrals" export and import formats allow you to exchange subject records between two BiblioMaker databases. But you can also use these formats either to export your subjects to another program (spreadsheet or database) or to import a directory of subjects into the database.
The import/export file is in text format, with a tab mark between fields and a line feed between records. The character table can be UTF-8, Windows or macOS.
Please note that this format is structurally quite complex, since unlike most other import/export formats, it is dynamic, i.e. the number of exported fields depends on the number of cross-references and, where applicable, subject categories linked to each subject (fields indicated as Repeated in the table below). Consequently, if you open the export file in a spreadsheet program, some columns will not systematically contain the same fields from one subject record to another. This complicates manual data processing.

Before importing the subject, BiblioMaker displays a dialogue comprising several import options :
Update of existing subjects
When this option is ticked, BiblioMaker will verify that the imported subjects do not already exist in the database. If they do, BiblioMaker will update these subjects. The referrals and subject categories will be deleted and recreated in relation to the imported subjects. If this option is not ticked and a subject already exists in the database, it will be ignored.
Import referrals
When this option is ticked, BiblioMaker will also import the referrals for each subject.
Import all languages
When this option is ticked, BiblioMaker will import the subjects in several languages (in the case of a multilingual thesaurus). The number of languages imported depends on the number of languages defined in the subjects options.
Import subject categories
When this option is ticked, BiblioMaker will import the subject categories with the subjects.
Import codes
When this option is ticked, BiblioMaker will import the codes of the subject categories.
Import scope notes (librarian)
When this option is ticked, BiblioMaker will import the scope notes addressed to the librarian.
Import scope notes (reader)
When this option is ticked, BiblioMaker will import the scope notes addressed to the reader.
BiblioMaker attributes «X» status to imported subjects. If multilingual subjects are imported and certain translated subjects already exist in the database, BiblioMaker attributes «XD» status to them. It is advisable to replace the status assigned at the time of import by another status after import (using the Apply action).
