Word processor sidebar: the "Insert data" option

The word processor sidebar gives you numerous options for formatting your text.

It is dominated by a pop-up menu containing various options. Selecting an option changes the contents of the sidebar.














Display Displays either the inserted code or the value replacing it, to preview the final result.
Freeze Permanently replaces codes with their corresponding values.
Update Refreshes values found using codes. For example, if you have inserted a code indicating the current date, this date will be updated when you click on this button.

In this tab, select the file for which you wish to insert a field. For example, if you select the Addresses file, you can insert for instance Title, Last Name, First Name fields.

Use the Search area to find the field you're looking for more quickly.

By selecting Special, you can insert values calculated by the software, such as the postal address containing all the fields required for a mailing.

To insert a field in the text, either double-click on the desired field (the field is inserted at the cursor position), or drag the field name to the desired position in the text.

The magnifying glass icon to the right of the pop-up menu containing the file name linked to the displayed field allows you to define search criteria to find a particular form. The content of this file will be displayed to test the integration of the fields in your text.

Formatting fields

If you insert Date, Numeric or Boolean fields, you can define a format for the values to be displayed. To do this, click on the Format button after selecting the inserted field in the text, or double-click on the name of the inserted field: an area appears between the button bar and the text field.

Numeric field : Devine the number format : for instance ##'###0.00 CHF, ##0.00 %, etc.

Date field : Select the date format: short, long, etc. An example illustrates the chosen format. If you check the
box, no date will be displayed if the field contains none.

Boolean field : Select the format to be displayed if the value is positive or negative: e.g. True/False, Yes/No, Available/Not available, etc.

Edit a formula

The Edit button displays the formula editor, allowing you to concatenate two text fields, perform a calculation on a numeric field, etc., for example.

--Glossary tab--

By selecting this tab, the program displays the glossary entries. To insert glossary text at the cursor position, double-click on the glossary entry. Alternatively, drag and drop the glossary entry to the desired position in the text area.

Use the Search field to find the desired glossary entry more quickly.
