Multi-period file, data specific to one period versus data common to all periods

Starting with version 8, Office Maker Finance can save multiple fiscal periods in a single data file. You can switch between fiscal periods using the pop-up menu displayed at the bottom right of the main window.

Which data are specific to a fiscal period and which data are valid for all fiscal periods in the data file?

Data linked to a single period

  • Accounts file and its Options
  • Journals file
  • Entries file and its Options
  • Templates file and its Options
  • Exchange rates file
  • VAT rates file and its Options
  • Profit-Cost centers file and its Options
  • Budgets file
  • Movements file
  • Entry lines file
  • Swiss VAT forms
  • Company contact information
  • Coherence check, regeneration, locking only apply to the current period.

Data common to all fiscal periods

  • Currencies file
  • Glossary file
  • Spreadsheets file*
  • Customized print formats
  • Customized export and import formats
  • Saved search formulas
  • Displayed columns settings
  • Favorites bar settings
  • User accounts
  • Software license and activation key
  • EBICS and linked documents settings

*By default, the functions in a spreadsheet are always based on the fiscal year currently selected in the main window. Thus, if fiscal year 2025 is selected, the Balance function displays the cash balance for fiscal year 2025. If another workstation has selected fiscal year 2026, the spreadsheet for that workstation will calculate the cash balance for fiscal year 2026.
Other functions such as Mov, MonthlyBalance, or Budget may, however, refer to other fiscal years, depending on the dates specified in the arguments.

Data common to all fiscal periods is not copied over, but is of course present in the new fiscal period.
