The toolbar at the bottom of the data entry and modification window
The data entry window that appears when creating, editing, or viewing a record includes a toolbar at the bottom:
Example with Office Maker Finance
Let's take a look at these buttons, starting from the left:
- The first two buttons (up and down arrows) allow you to move to the previous record or the next record, respectively. In Modification mode, clicking one of these buttons saves any changes made to the record before moving to the previous or next record.
- The third button (Trash) deletes the current record. The program first checks to see if deletion is possible. If it is not, an alert explains why.
- The fourth button (Info) displays a dialog box showing the author and creation date of the record, as well as the ten most recent modification dates and their authors.
- The fifth button (Paperclip) displays a dialog box for attaching a document to the record. This can be a file of any type (PDF, Word, Excel, image, etc.) or a link to a website.
- The sixth button (Cancel) closes the record. If it is a new record, the entered data is lost. If it is a record currently being edited, the changes made are lost.
- The seventh button (Validate) closes the record after saving it to the database. In View mode, this button is labeled Modify and takes you to the record’s edit mode.
Depending on the context, the toolbar may not include all of these buttons, or it may include additional buttons.
